Add a profile for each child and manage it as their guardian — the learner profile is the anchor that tasks, timetables, curriculum plans, assignments, sessions and records all hang off.
What it does
In AltEd, everything is organised around learners. Each child you home-educate gets their own profile — created and managed by you, their guardian. Learners don't need accounts or email addresses; the profile simply gives their learning a home. Once a learner exists you can set tasks and targets, build a timetable and curriculum plans, set assignments, put them on calendar events, and book tutoring sessions with providers.
Providers see the learners they work with too — the same shared record, scoped to the sessions and subjects that involve them.
Where to find it
Your home page (/dashboard): one card per learner. Their picture and their name at the top of the card, and the link icon beside the name, each open a panel on the right; Add a learner sits above the cards, and everything else is in each card's menu.
Ready to follow along in the app?
No password, no card — a magic link and you're in.
The Learners list (/dashboard/learners): every learner in a table, for providers and administrators. A parent who opens it lands on their home page instead — your children are the cards there — and, with no learner yet, the panel to add one opens.
(The learner's work then appears throughout Progress, Timetables, Curriculum builder, Assignments, Resources, the Calendar and Sessions.)
Everything about a learner is on their card, on your home page
With two or more learners, each has a card, one under another
Step by step
Add a learner
On your home page select Add a learner — or, before you have one, Add your first learner in the Get started guide. A panel slides in from the right.
Enter the learner's First name and Last name, their Date of birth, an optional Year / key stage, and any Notes you'd like on the profile — the context a tutor might need, or reminders for yourself.
Select Add learner. Their card appears on your home page straight away — and your first learner adds 5 AI credits to your account (see Getting started).
Administrators can also add one on the Learners list without opening anything: the add row under the table takes a First name, Last name, Year and Date of birth, each under its own column — press Enter to add.
Change a learner's details
From the home page, select the learner's name on their card — or open the … menu and choose Edit profile. The same panel opens, filled in; change what you need and select Save changes. Their own sign-in is at the foot of the panel; see below.
Administrators, on the Learners list, click any value in the table — a name, the year, the date of birth — to edit it where it sits. Enter saves, Escape puts it back. The row's … menu still has Edit details for the full panel.
Give them a picture
Select the learner's picture on their home page card — the circle with their initials in it. (It's also Change their picture in the card's … menu.)
Drag a photograph onto the panel, paste one from your clipboard, or select Choose a picture. JPEG, PNG, WebP, AVIF or GIF, up to 4 MB.
It appears on their card straight away. Remove it puts their initials back.
Only your family and the tutors you're connected to can see it, and it counts towards your family's file storage — choosing a new one replaces the old.
Share their own page
Select the link icon beside the learner's name on their card — or Share learner link in the … menu (on the list, the row's menu). The panel that opens holds their private link, the Show marks and feedback and Show reports from tutors switches, and their own sign-in. See The learner's own page.
The button beside Copy link shows a QR code: point the child's phone or tablet camera at it to open their page on that device, then bookmark it there. Anyone who can see the code can open the page, so show it to them rather than sending a photograph of it around.
Manage their sign-in, email address and password
Their own sign-in appears in two places, and it is the same block in both: at the foot of the Edit panel, and in the Share learner link panel.
No account yet — type an email address and select Give them a sign-in. They can then sign in themselves with a link sent to that address.
Change email — give them a different address. They're signed out within a few minutes and sign in again with the new one. Anything that could still get them in the old way goes too — a password-reset or sign-in link sent to the old address, a passkey, a second step at sign-in, a linked Google or Apple sign-in.
Set a password / Change password — at least 8 characters; the bars under the field show how easy it would be to guess, and the eye shows what you've typed. Useful for a younger child who can't work a mailbox: they sign in with their email address and this password instead of waiting for a link. Tell it to them yourself — AltEd never emails it — and they're signed out of anywhere they're already signed in within a few minutes. A password-reset link sent before you set it stops working, so nobody can change it back.
Close their sign-in — deletes the account. Their work, marks and history are untouched, and you can give them a new sign-in whenever you like.
Remove a learner
Open the learner's … menu on their home page card (administrators: the row's … menu on the Learners list) and choose Remove learner. You'll be asked to confirm: removing a learner removes their tasks, log, timetables and every other record with them. There is no undo.
What each screen shows
The home page card shows the learner's picture (or their initials), their name, age and year, how they're taught (home educated, home + providers, or with providers), their status badges, and the four cells for today. Log written today is a button when something has been: it opens a panel listing today's lines, with the number in brackets when there's more than one and a way through to the full log. See Getting started.
The panel (add or edit) has the five fields above and one button. Administrators adding a learner on a family's behalf also pick the Guardian.
The Learners list (providers and administrators) has a search box, a Year / level filter, sortable columns (First name, Last name, Year / level, Date of birth, and Guardian for providers and administrators), a … menu per row, and the add row at the bottom. Providers see the list read-only.
A learner's … menu opens Assignments, Progress, Portfolio and Reports already showing that learner, and — for a provider — Message their family, which opens your conversation with them. Administrators also have Edit details, Their own page and Remove learner there.
For a provider, the list sits between Families asking to connect (requests to accept or decline, when there are any) and Families (everyone you're connected to). A family's … menu there has Messagetheir name and End connection. See Connections.
Tips and good to know
Every plan, Free included, holds as many learner profiles as you need.
A learner's age on the home page is worked out from their date of birth, so keep it accurate.
Removing a learner is permanent. If a child has simply finished with AltEd, leaving the profile costs nothing.
Troubleshooting
Problem
What to try
A provider can't see a learner
They see only learners of families they have an accepted connection with — check Providers for the connection.
A parent opening /dashboard/learners
It opens your home page, where each learner is a card — a bookmark still works.
A picture won't go up
It has to be a JPEG, PNG, WebP, AVIF or GIF of 4 MB or less. A PDF or a HEIC from an iPhone's Files app is refused.
A password you set doesn't work
Check they're using the address shown in Their own sign-in — changing it signs them out and the old one stops.
