Reports

One learner, one period, one document — the education record a local authority asks for, assembled from what you already recorded.

What it does

The Reports screen assembles everything AltEd holds about one learner over one period into a single document you can print or save as a PDF:

  • Who the learner is, and their parent or carer
  • Days and hours logged, and how those hours were spent
  • Subjects, work set, and average marks
  • Portfolio evidence from the period
  • Tutors and providers, and the sessions they actually delivered

It reports only what was logged — no figure is estimated or inferred. That's deliberate: a record that pads itself is worth nothing to the person reading it, and worse than nothing to you.

Above the document sits the readiness check, which tells you whether the record would answer the questions usually asked before you go to the trouble of printing it.

Where to find it

  • Navigation: LearningReports
  • URL: /dashboard/reports

Step by step

  1. Go to Reports.
  2. Choose the learner. One record covers one learner — that's the document a local authority expects.
  3. Choose the period: Last 6 months, Last 12 months, or This academic year (1 September to 31 August).
  4. Choose the document:
  • Review record — the full picture: attendance, hours, subjects, evidence and providers. This is the one for a local-authority review.
  • Transcript — a compact attainment summary, for an application or a next setting.
  1. Read the readiness check above the document and fix anything it flags.
  2. Select Print / save as PDF.

What prints

Everything on screen that isn't a control. The pickers, buttons and the readiness check are all hidden when printing; the document prints full width in black on white, so it doesn't cost you a cartridge and reads properly on paper.

Tips and good to know

  • Check the readiness panel first. It takes a second and catches the gap you'd otherwise notice after printing.
  • Averages exclude unmarked work. Work nobody has marked isn't counted as zero — it simply isn't counted. If nothing is marked, the average is shown as unavailable rather than 0%.
  • Work is placed by its due date, so a record for the spring term contains the work that was due that term, not everything typed in during it.
  • Only delivered sessions appear. A session that hasn't been confirmed by both sides isn't evidence yet.
  • Save a PDF at the end of each term. It costs nothing and means you always have a snapshot, even if something changes later.

Troubleshooting

| Problem | What to try | | --- | --- | | "No record to show" | Choose a learner. If you've none yet, add one — see Students. | | The period looks empty | Nothing was logged in it. Check the dates in Progress & attendance. | | A subject is missing | Subjects come from the curriculum work is linked to; unlinked work has no subject — see Curriculum. | | Evidence isn't showing | Portfolio items are included by the date they happened — see Portfolio. | | A tutor is missing | Only sessions marked delivered count — see Sessions. | | Printing includes the menus | Use the Print / save as PDF button rather than the browser menu, so the print styles apply. |
